Before we begin, let us understand about the need of Attendance and the usage of this particular activity.
 
Employee Attendance tracking is an extremely laborious and tedious task. This created a need for employee attendance software, which allows the organization to create a paperless employee check-in / check-out system. It also helps in combining real-time employee time and attendance data, which in turn results in minimizing the costs and improving efficiencies.
 
You can also edit and delete an already created set of information with required authorization.
 
The key functions of a Attendance Module are:
  • Creation of a New Employee Attendance Record;
  • Modification of an existing Employee Attendance Record;
 
We will be going through the each of these set of information in detail.
 
 
Attendance

Date

1. Date Select the date for which you want to submit the attendance. By default, the system will take the current date. You can also pick a different date by just clicking on the calendar function.

Filter Data

2. Filter Data : Click on this button, If you want to process attendance of selected employees or specific Department or Designation or Branch etc. In this case for each category you can select multiple checkbox in drop down against particular head for selection. Like if you want to process attendance of only Admin Department then select check box against "Admin" from Drop down list of Department.
 
Click on "Display" Button when you are finish to apply filter on desired fields.
 
Click on to close/exit the filter form.

Display Attendance

3. Display Attendance : Click on this button, System will display the list of details of employee based on the data filter and if attendance is already marked for this day.
 
Let us understand the column details of the Table;
 
Column Name
Description of Columns
Code
Here System will display the code of the Employee.
Employee
Here System will display the Name of the Employee.
Card No
Here System will display the Card No. of the Employee.
Day type
Here System will display the Type of the day based on the date selected. (Normal / Weekly Off / Holiday)
Shift Start Time
Here System will display the Start Time of the Shift selected in Employee Master.
Shift End Time
Here System will display the End Time of the Shift selected in Employee Master.
Branch
Here System will display the Branch Name in which Employee is posted.
Department
Here System will display the Department of the Employee.
Designation
Here System will display the Designation of the Employee.
Category
Here System will display the Category of the Employee.
Joining Date
Here System will display the Joining Date of the Employee.
 
 
Let us understand how to mark attendance;

Mark Present

4. Mark Present To mark attendance against each employee, Click on the check box and system will fill the time based on the shift In/Out time.
You can change the In time / Out time manually if desired.
User can also mark their attendance from Alignbooks Mobile Application (Download).

In Time

5. In Time : Select the In Time from the Time Picker function. By default, the system will take the current time. You can also pick a different time by just clicking on the Time Picker function.

Out Time

6. Out Time : Select the Out Time from the Time Picker function. By default, the system will take the current time. You can also pick a different time by just clicking on the Time Picker function.

Save Attendance

7. Save Attendance : Click on this button to save the values entered by you.

Cancel

8. Cancel : Click on this button to clear the values without accepting any changes.

Import (Excel File)

9. Import (Excel File) : Click on this button to Import Data and select a file from which Data is to be imported. Click here  “Import Utility”, to know more about this utility.
