Data Access Rights

 
Welcome to AlignBooks. We are happy to have you on board. In this help studio tutorial, we will explore the “Data Access Right” set up options.
Before we begin, let us understand about the need of Data Access Right Utility and the usage of this particular activity.
 
Data Access Right 
If more than one person is working on maintaining the records of the company and creating various documents, the multiple users can be added, and all such users can log in the AlignBooks at a time by using their User ID and password.
 
Here, you may have a concern that if all users will have access to all data of the company, the trade secrecy, data accuracy or operational efficiency may be compromised. To overcome this situation, AlignBooks provide the feature to define the rights to skip location so that the user cannot pass any transaction / view reports of other locations.
 
Also, if the user who is login into the Alignbooks is a salesman then he must not view the data or other salesman / resources. So Alignbooks have provision to map the user with salesman it enables the restriction for the user to view data of Sales / Receipts for those Customers only in which his own name is associated, or no salesman is associated in Customer master.   
 
This “Data Access Rights” utility will assist you in
·     Setting up default values for location / counter.
·     Restrict the user rights for accessing other Locations (in case of multi-location).
·     User mapping with Salesman.
 
If you are on home page, you need to click on  Icon titled as “Configuration”. You will get many options available under Configuration Menu. Click on  to select this option.   The Screen appears will look like;

User Name

Select the name of he user from the drop down list to provide the rights to the user and click 1. User Name.
After button Click, the selected User name will get disabled and area to provide rights will be enabled.

Skip Company Access

In Case of Group Companies, Select the name of Company from the drop down list if you want to restrict the user to check the data for selected company. The selected company will be skipped from the company list from transaction and reports when the user log in to Alignbooks.

Skip Location Access

Select the name of locations from the drop down list if you want to restrict the user to check the data for selected locations. The selected locations will be skipped from the Location list from transaction and reports when the user log in to Alignbooks.

Default Location

Select the relevant option from the drop down list to set a default location in which user primarily make transactions. When user open any transaction for entry then selected location will automatically come in location field.

Default Counter

Select the relevant option from the drop down list to set a default counter in which user primarily make transactions.

Mapped Salesman

Select the relevant option from the drop down list if you want to associate the user with salesman. If salesman name is selected, then user data will be restricted based on the association of salesman with the Customers i.e. the list of customers will be filter and only those customers in which the salesman name is associated or no salesman is associated will be displayed.
 
 
Click on   to save the information entered in Data Access Rights.
 
Click on   to undo the information entered or change user without saving data in Data Access Rights.
 
Click on   to exit without saving data in Data Access Rights.
