Fixed Asset Opening Stock

 
Welcome to AlignBooks. We are happy to have you on board. In this help studio tutorial, we will explore the Fixed Asset Opening Stock utility. 
 
Before we begin, let us understand about the need of Fixed Asset Opening Stock entry and the usage of this particular activity.
 
When you are shifting your data from manual system or from any other software to AlignBooks, you will need to bring in system the quantity and value of your Opening Stock of your Fixed Assets so that these items are maintained as Asset of Company. 
 
Therefore, in Opening Stock we enter existing Asset details, Opening depreciation and Cost for each Asset item with all the available data at hand.
 
This is a one-time process at the time of shifting data from a manual system or from other system and this library of data is extensively used to capture, generate and auto generate the required documents and reports in a desired format.  
 
You can also edit an already created set of information with required authorization. 
 
The key functions of an Fixed Asset Opening Stock Module are:
·     Enter the data of Fixed Asset Opening Stock;
·     Modification in data of Fixed Asset Opening Stock;
 
We will be going through the each of these set of information in detail.
If you have not yet created Asset Item profile of your all items, you should first create the Asset Item profile of all the required items. To create an Asset item profile, use   menu under  module.
 
Enter the Data of Fixed asset opening Stock first time
 
If you are on home page, you need to click on   Icon and you will get eight options. Select out of the eight menu options available. The Screen appears will look like;

Let us understand how you can input the Fixed Asset opening stock details;

Location / Branch

1. Location / Branch: If you are handling multi locations, select the required location from the dropdown menu. This field is available only if you have configured Multi location “ON” in General Setup. If your desired Location does not exist in the menu, you can create a New Location by clicking on option within the dropdown menu. You can also Edit or Delete a Location from Here. Select a Location to be edited/deleted and then click on . The Location will be opened in Edit mode and you can edit it and save by click on . You can delete it by click on

Confirm Input

2. Confirm Input :
Once you click on , a list of all the Items created by you will be displayed in the Table. If you have already entered any value against any item earlier, those values will also be displayed against that item. You can input the value against any item, if not already entered, or change value entered earlier.
 
Let us understand the columns of the table;
 
 
Click here to add a Row to the table.
Click here to delete a row from the table.

Asset Item

3. Asset Item : Select the Asset Item name from the drop down list.

Prefix

4. Prefix : Here the Item code will be displayed which will be used as prefix to the new generated Asset Number.

Asset No

5. Asset No : Enter the Asset Item Number to create new Asset Item code.

Unique Asset No

6. Unique Asset No : Here new Asset Item Number will be displayed.

Purchase Bill Date

7. Purchase Bill Date : Here Enter the Supplier Invoice Date through which you have initially purchased this Item.

Purchase Bill No

8. Purchase Bill No : Here Enter the Supplier Invoice No through which you have initially purchased this Item.

Vendor

9. Vendor : Here Enter the Supplier Name through which you have initially purchased this Item.

Asset Cost

10. Asset Cost : Here Enter the Cost of this Asset Item.

Opening Depreciation

11. Opening Depreciation : Here Enter the Opening Depreciation of this Asset Item.

Balance Depreciation Month

12. Balance Depreciation Month : Here Enter the Balance Months pending for Depreciation from the Useful life of this asset.

Hands in Position -> User Defined Fields ->

13. Hands in Position -> User Defined Fields -> : User can create up to 5 custom fields to capture the current in-hand position (like issue to branch or employee), make / model no of Asset etc. To Enable the Fixed Asset HandsIN Attribute in Inventory Setup.
 
When you have finished your data entry for all items, click on   to Save the values.
 
Export : Click on  to Export the data as visible in the list to an Excel Sheet. 
 
Import: Click on  to Import Data and select a file from which Data is to be imported. Click here  “Import Utility”,  to know more about this utility.
 
Search : Type a text to search a particular record.
 
Repeat the process for each Location as applicable.
